For our customer, a leading, multinational Life Sciences group headquartered in the Basel area, we are seeking an Executive Assistant to the COO of the division:
Responsibilities:
• Provision of a full range of high level secretarial/administrative support to the COO of the division
• Preparation of materials for, arranging and attending Executive Committee (EC) meetings, including taking and distribution of accurate minutes
• Receipt, screening and direction of incoming calls, visitors, mail and e-mail on behalf of the COO and other members of the EC
• Ability to handle details of a highly confidential and critical nature using tact and diplomacy
• Maintaining files, records, calendars and diaries: arranging business travel, keeping track and tracks and processes expenses and relevant invoices
• Handling of special projects and execution of research, data analysis tasks and compilation of reports
• Manage a team of four direct reports (administrative assistants)
• Perform a variety of routine work, projects and assignments within established policies and procedures, as well as assigned duties according to specified procedures and detailed instructions
• Perform other duties as assigned
Requirements:
• Commercial apprenticeship (or similar degree), ideally supplemented with a degree as Executive Assistant
• At least 10 years experience in supporting an executive committee member of a large, multinational group (matrix organization), ideally gained in the Life Sciences sector
• Proven leadership experience is a must
• Fluent in English and German; French would be an asset
• Excellent written and oral communication skills
• Consistent delivery of highly accurate and timely work results
• Ability to work in a highly visible role requiring uppermost level of professionalism, confidentiality and discretion
• Advanced proficiency in Outlook, Word, PowerPoint, Excel and understanding of SAP, Skype, SMS, Lync and SharePoint
• Happy to multi-task and deal with changing priorities and a demanding workload
• Excellent team player
• “Can-do” attitude and highly motivated to do the best job
• Ability to build strong and trusted relationships with internal and external contacts
• Willingness to travel to a limited extent
